Collect the technical specification, manufacturer documents, test reports, delivery and payment terms in one list. Separate what each document shows from what still needs specialist review before you decide to buy.
Document your requirements
Put capacity, materials to be processed, dimensions, tolerances, energy requirements and installation space in a technical specification. Ask for quotes based on the same scope.
Match company and quotation details
Compare the company name, quoting party and contractual seller. Receiving a company document alone is not verification. Clarify uncertain details before setting the payment plan.
Request the machine documents
Request the model, serial number if available, technical drawings, operating and maintenance manuals and any offered test reports. Have the documents checked for relevance to the quoted machine.
Clarify acceptance and delivery scope
Specify accessories, spare parts, training, installation, warranty coverage, test methods and delivery terms in writing. Track missing documents and unanswered questions in one list.
Check in whose name the document was issued
In whose name was the invoice, origin, conformity or test document issued? The quoting party, manufacturer and exporter may not be the same. If they do not match, ask for a written explanation before payment and contract.
Ask for conformity paperwork as a file, not a claim
When a CE mark, test report or quality certificate is shared, its date, scope, related model and issuing body should be visible. An image of a document alone is not approval to import into Türkiye or place the goods on the market.
Tie the payment plan to the document flow
Write in one table which amount is paid after order, production, acceptance test and shipment, and which document is delivered at each step. Do not increase the advance while documents are missing.
